Had a coach that gobbled up some pre-paid group "private training" cash.. and left town when he was fired. We agreed to pre pay because he was a good guy, the kids loved him - but always broke - really bad with money. No day job, despite offers from team parents to give him work (non soccer).

There's a more common "fraud" issue that I suspect many more clubs and teams have experienced. The use of team account/funds for unethical purposes. How many have experience where on tournaments out of town coaches submit some wild request of reimbursements. I have seen convertibles, Mercedes benz rentals, suites, first class air fare and some others. I have seen kids of, nieces/nephews of coaches within a club go a season without paying or paying far less than what other players pay. There are coaches that do not allow for regular remittance of the team's financial be shared with parents as well.
1. Clubs should have written policies and procedures in place that limits coach expenses for out of town tournaments and games. Items as applicable should include per diem, hotel room, hotel class, rental car limits, air fare limits etc.
2. At least monthly financials should be sent to families that show player dues owed/paid by each player (family)as well as line item information on funds coming in and funds going out. 3. An independent person from any team and coach should keep the financial books for the team, clubs should have a separate person that provides oversight of team books with regularly scheduled audits. 4. No coach should have access to funds deposited in any team account. 5. Team account should have more than one person assigned (joint account). 6. Expenses and budget should be agreed upon prior to the season as a manner of the team, not the coach only nor the club only. The club sets the dues, coach sets the tournaments, the team should set any expenses beyond that so coaches can't rack up added costs where parents feel obligated or risk their child losing a spot on the team. 7. Parents of team should have a right to request audited financials providing private player/family information is not compromised.
These are just a few suggestions I would encourage to help provide abuse and fraud from any person involved in a club/team's finances.

Those "rules" all sound fine until the coach or club says they've picked up X players needing financial assistance and the rest of you get to split the difference. Club soccer fuzzy math 101.
I have been a team treasurer and thought nothing of sharing the in/out tracking spreadsheet. I did that at the end of the season and offered to leave the surplus for the next season, or give refunds.
