For those teams that do "team travel", can you share how it works?
Do you book 4 players to a room plus 2 rooms for chaperones and 1 for coach? Do you divide ALL rooms by ALL players? Does the TM collect a large travel fee up front and pay for all rooms on the team card? How much is enough to collect up front? Are chaperones rooms paid for? How many chaperones per event? Do you rotate chaperones? Is it required to chaperone something throughout the year? Are players REQUIRED to stay with team or at least cover their share regardless? If additional parents want to attend, they need to book their own rooms?
Anything I am missing?

Great questions, I assume this is variable per club. Would love to know if any club has club card? Seems the TM's get stuck with all the responsibility for a no pay position

What age group and what level of play? Also depends on the club and hotel room setup (how many beds/pull-out sofas in each room). For all ODP ages and DA U15 and up, I've seen 2-4 players per room, 1-2 chaperones per room, 1 coach per room usually. If the team is organized someone will collect $ in advance but usually someone from the club fronts it and the players pay back the club. I have only seen the TM have to pay the money then get reimbursed if it's not required to travel completely as a team. Chaperone rooms are paid for but they pay for their own food. Usually 2 chaperones per team (one may be an assistant coach if older kids; for younger kids such as ODP, there may be 3-5 chaperones depending on size of roster), rotate if more than one chaperone wants to do it, not required of parents to chaperone any events. Players are REQUIRED to stay with the team. Additional parents are on their own and stay in a different hotel from the team. Bus/van/plane costs may also be a consideration.

If additional parents want to attend, they need to book their own rooms? Anything I am missing? As someone alluded to, the answers to these questions tend to be club/team/location specific. You should have a travel coordinator at the club who will be able to help answer some of the specifics(team card, parent costs, etc.) He/She will also be able to share short cuts and pitfalls to look for or avoid. I would at the very least find out who the former and/or current Travel TM to pick his/her brain. Finally, it doesn't hurt to have a team meeting with the parents no matter what you or the club decide. This gives everyone a chance to chime in with what works best and lets everyone know what their responsibilities are. When we did travel in the past, we the parents collectively came up with an estimate of all the costs, types of hotels(free wi-fi, breakfast, etc.) and mode of transport. From there we were able to divvy that up amongst ourselves. This helps parents/families budget and plan for all contingencies. We had some $$$ left at the end of the season and that was in turn used as an end of season gift for the Coach. Good luck!!

We've done it so many different ways - DA - clubs handles it all.
a few years a go though, we did 4 kids to a room, and rotated the kids so they were a different group each time. once rooms were assigned, one parent from each room was responsible for the room and got paid from the other 3 players.
It was then up to the parents to come or not, obviously if they didn't come, they would have to send $ with the kids etc.

I always make sure our TM's are taken care, our parents do a good job of showing their appreciation with various gifts: nice bottle of wine, a massage package, $100 gift card to a nice restaurant, among other things. TM's are valuable to the success of the team.

We always try to make sure the TMs get some type of coaches gear. Ie hoodie, rain jacket, tee shirt. Plus a thank you card from the coaches.

The role of a team manager is a thankless task at times. Our team manager does an unbelievable job. He tries his best to keep the parents on board, is on top of all the administration, and never complains (I know I would!)
If you have a team that’s running smoothly, you’ve probably got a good team manager.
